Specialized Tour Handling Executive

Job description

As support of our group operations team based in Frankfurt we are seeking to hire a Specialized Tour Handling Executive.

Your key activities and responsibilities include

• All aspects of operations after go-ahead

• Checking quotes & pre-bookings before go-ahead

• Master check, reservation of series and adhoc groups

• Checking itineraries and services quoted are feasible and making relevant suggestions where appropriate

• Finding suppliers and services for adhoc services and all back-office operation accordingly

• Input contracts, rates and supplier code creation

• Negotiate rates and terms & conditions

• Ensure compliance with company policies

• To confirm services efficiently and accurately using the internal reservation system, paying attention to any special requests

• Liaising with sales offices, other internal department and suppliers to ensure high service quality

• Handling Account Queries - taking prompt action to avoid delays with payments to suppliers

• Ensure all finalised tours have correct and accurate information and all products are confirmed

• Excellent communication and organizational skills

• Motivated and a team player with a pro-active attitude and initiatives

• Sense of urgency/ ‘can-do’ attitude

• Attention to detail essential, to ensure thoroughness and accuracy at all times

• Ability to work under pressure and meet deadlines

• Ability to handle heavy workload and work under pressure

• Precise, logical and straight forward communication skills

• Proven track record of operations experience – ideally gained in the leisure and tourism sector

• Computer literature, experience working with Microsoft office site, Outlook, Excel preferable

• Excellent command of written and spoken English communication

• Good command of written and spoken German language
