About the Business:

Our Destination Management services form the core of our business. Together with our destination experts, our sales teams generate business and shape itineraries suited to our customers’ needs with real-time insider knowledge. We take care of everything from ground support, hotel bookings, sightseeing, restaurants, and local guides; all while providing 24/7 customer support so that travelers from over 50 countries can enjoy memorable travel experiences worry-free.

About The Job:

This role is responsible to operate tours as per pre-defined standard operating procedures (SOP). Contact with stakeholders within the organization (Sales Office Operations, hotel team, Inbound Operations, third party suppliers). You will be part of Operations team reporting to Operations Team Leader.


Day-to-day activities

  • Screen and optimize the profit of new go-ahead bookings

  • Control confirmations (quality and price)

  • Create a Meals Plan and powerpoint presentation to offer to clients

  • Create an excel flowchart of itinerary and services/hotel arrangement

  • Push pending bookings

  • Perform changes as per Agents' requests including pre-final adjustments

  • Research and reply to Agent’s miscellaneous operational requests via Sales Office Operations

  • Prepare invoices and credit notes including negotiations as necessary

  • Check purchase orders

  • Finalize and print final documents

  • Support Sales Office Operations with trouble-shooting for tours currently ‘on the road’

  • Support local service account queries

  • Clear, open and effective communication with Sales Office Operations and Inbound Operations teams as well as 3rd party suppliers

  • Collaboration with Sales and Hotel teams


Other activities

  • Attendance at work-related seminars as required

  • Keeping abreast of the business forecast, reading meeting minutes and other relevant information from our Sales and Operations management

  • Attendance at Operations team meetings and other meetings as required

  • Meet and greet visitors as required

Job Requirements

TO SUCCEED IN THE ROLE, YOU SHOULD HAVE

  • Excellent presentation and grooming

  • Proven track record of negotiation skills

  • Ability to optimize product/price support for sales

  • Sense of urgency/ ‘can-do’ attitude

  • Hardworking and reliable

  • Ability to handle a heavy workload and work under pressure

  • Precise, logical and straightforward communication skills

  • Analytical thinking

  • Attention to detail and accuracy

  • Good organization skills and ability to prioritize with sound reasoning to support

  • Ability to quickly learn and memorize special deals and promotions

  • Proven track record of operations experience – ideally gained in the leisure and tourism sector

  • Must be computer literate with extensive hands-on experience working with computer systems including Microsoft WORD, Excel, Powerpoint, Outlook

  • Excellent command of written and spoken English communication
