About the Function
Our Destination Management services form the core of our business. Together with our destination experts, our sales and account management teams generate business by partnering with our customers (Tour Operators, Travel Agencies) to shape exciting itineraries suited to their traveler’s needs. We take care of everything from ground support, hotel bookings, sightseeing, restaurants, and local guides; all while providing 24/7 customer support so that travelers from over 50 countries can enjoy memorable travel experiences worry free.

About the Role

The purpose of the role “Operations Coordinator” is to be responsible not only for land service bookings such as restaurants, guides, local coaches, special requests etc., but also to coordinate the tour as a whole and ensure timely confirmations within budget and high level of operational quality. All tasks must be carried out in accordance with Kuoni Tumlare policies, targets and deadlines.

Job Requirements

Key Responsibilities:

  • Close communication with Sales Offices about supplier bookings and tour planning
  • Communication with Tour Leaders on the road with group 
  • Operating tours across Scandinavia and Baltics
  • Tour planning including revenue control and efficient supplier choosing for series and single groups.
  • Preparing series and ad-hoc tours itineraries according to sales requirements, destination specifics, budget and supplier conditions
  • Preparing and confirming bookings for all ground services supplier categories, special arrangements for all types of tours and series tours.
  • Ensuring that operation is done according to procedures set by Kuoni Tumlare 
  • Double checking and coordinating all services within one tour including finalizing hotel and overnight ferry bookings.
  • Revenue control – renegotiating with suppliers, securing best possible rates, focus on tour profit, avoiding over budgets.
  • Establishing and keeping a good relationship with all suppliers and sales offices.
  • Handling last minute changes by Tour leader when group is on the road as well as Emergency cases/calls reported by tour leader or sales office. 
  • Providing customer service.
  • Season preparations throughout off-season in cooperation with other tour coordinators as well as team leaders and destination office
  • Participating in assigned trainings, workshops, inspection tours, educational webinars.

To Succeed in the Role, You Should:

  • Take ownership of own area of responsibility;
  • Be Fluent written and oral English, Scandinavian languages is a plus;
  •  Be a fast learner, self-motivated and passionate about delivering quality customer service to our clients;
  • Be highly detail orientated, able to keep deadlines and work under pressure;
  • Be a Team Player, must have good interpersonal and communication skills;
  • Be flexible and Solution driven, adaptable in uncertain conditions;
  • Be data-driven, analytical thinker;
  • Be professional, revenue focused and driven to achieve targets.
