Our Destination Management services form the core of our business. Together with our destination experts, our sales and account management teams generate business by partnering with our customers (Tour Operators, Travel Agencies) to shape exciting itineraries suited to their traveler’s needs. We take care of everything from ground support, hotel bookings, sightseeing, restaurants, and local guides; all while providing 24/7 customer support so that travelers from over 50 countries can enjoy memorable travel experiences worry free.
We are looking for an Operations and Hotel Reservations Coordinator to join our North Operations Centre team. In this role, you will manage hotel reservations and land service bookings, coordinate tours across Scandinavia and the Baltics, and ensure timely confirmations within budget and operational excellence.

Job Requirements
Key Responsibilities:
Operate and manage tours across Scandinavia and the Baltics, ensuring high-quality delivery.
Plan itineraries for series and ad-hoc tours according to sales requirements, destination specifics, and budget.
Handle bookings and confirmations for all ground service suppliers.
Maintain strong communication with suppliers, Sales Offices, Tour Leaders, and internal departments.
Manage emergency cases, last-minute changes, and operational issues during tours.
Ensure accurate documentation, booking statuses, and BIS reports.
Conduct quality checks and maintain consistent operational standards.
Support season preparations and participate in trainings, workshops, and inspection tours.
Provide feedback on tour quality and supplier performance.
Support new and temporary staff through training and knowledge sharing.
Maximize revenue through efficient supplier selection, budgeting, and negotiation.
Represent the company in supplier meetings, study tours, and other professional engagements.
We Are Looking for a Person With:
Fluent in English (Scandinavian languages are a plus)
Detail-oriented, organized, and able to meet deadlines under pressure
Strong interpersonal and communication skills
Flexible, solution-driven, and passionate about customer service
Experience in DMC/ground handling operations or tourism is an advantage
Knowledge of Scandinavian destinations is a plus
