Indoor Sales & Tour Coordinator (Chinese +English Speaker)

Job Purpose

This role is in charge of making quotations, following up offers, daily operation works and completing assignment and reports to supervisor/operation manager.

• Quotations – Work with sales team closely to make sure quotations to be done correctly and properly

• Follow-up of offers – Work with sales team closely to get feedback of offers and push for real bookings in return
• Daily operation works – Ensure all daily operations to be done properly
• Complete assignment and reports to supervisor/operation manager Reporting and key relationships:
• Directly report to Supervisor/Operation manager
• no staff under supervision of this position
• Closely work with supervisor/operation manager, sales team, DOs and operation centers in Europe
Key activities and Complexity: Key Activities
• Quotations
a. Gather as much group information as possible (including flight details, group purpose and possible competitions) b. Review itinerary as well as requested services
c. Make proper quotation from system by following all the information and requests.
d. Prepare quote sheets as well as sales sheet
e. Get selling prices from sales team and then send offer letter to agents
• Follow up offers with calls
a. Make sure agents get our offers properly
b. Get feedback of offers and pass related information to sales team for further action
• Daily operation works
a. New group bookings, including series and ad hoc
b. Push confirmation of services, including hotels and ground services
c. Deadline control
d. Revenue/budget control
e. Regular update of sign up pax
f. Communicate with agents, LPICs and HRD people whenever it needs
g. Cancel groups when required and follow up cancellation fee if any
h. Materialize groups when approved by agents and make sure all services to be confirmed properly by due time

i. Change services and follow up confirmation by due time
j. Finalize groups and send out final document to agents
k. Check BIS reports and create invoices
l. Trouble shooting while groups are in the trip
m. Join weekly operation team meeting for information sharing and case study

a. Need to know how to work with quotation system
b. Well understanding of tour products, guidelines and company policy
c. Need to know how to get information via different resources, such as internet, paper brochures as well as update information from DOs
d. Need to be able to work on multi-task basis
e. Need to know how to deal with new/small agents who may be not familiar with tour products of European destinations
• Follow up offers with calls
a. Need to know offers well and ready to answer any possible questions asked by agents
b. Need to know how to talk to agents in proper way and take notes for sales if further follow up is needed
c. Need to understand market situation as well as agent’s preference

• Daily operation works
a. Need to work on multi-task basis
b. Need to able to work under huge time pressure
c. Need to be patient as well as detail oriented
d. Need to figure out solutions while having problems and know how to escalate problems to supervisors for further assistance
e. Need to know how to deal with LPICs, HRD people and agents in proper ways
f. Need to understand and follow operation procedures well
