We are looking for a detail-oriented and proactive Group Operations Consultant to join our team in Budapest. In this role, you will be responsible for planning, developing, and coordinating group travel products, ensuring seamless delivery from concept to completion. You’ll work closely with local sales, marketing, and service center teams, as well as key partners across the travel industry, to create exceptional group travel experiences.
Key Activities:
Planning & Development
Collaborate with the local sales team to understand market needs and local product specifics.
Develop new and review existing guided tour itineraries; work with the marketing team to ensure accurate and engaging promotions.
Draft itineraries for both existing and new group packages.
Create and maintain quotation templates for guided tour products in close collaboration with the Tokyo Service Center.
Design tailor-made itinerary proposals and quotations based on clients’ preferences and requirements.
Present group travel offers to clients when needed.
Build and maintain relationships with local authorities, tourist boards, and airlines.
Coordinate with tour leaders to ensure smooth and successful tour delivery.
Attend travel fairs and destination workshops to expand product and destination knowledge.
Participate in familiarization (Fam) trips to gain firsthand insights, and share knowledge with team members and sales colleagues.
Operations
Prepare group travel offers, calculations, and itineraries for assigned products.
Coordinate all aspects of group bookings in close cooperation with the Tokyo Service Center to ensure flawless execution.
Provide necessary details to the finance team for invoicing, service cost administration, and financial reconciliation.
Prepare final tour documentation to support successful tour delivery: detailed itineraries, tour expenses, rooming lists etc.
Conduct quality checks on travel documents to ensure clients receive accurate and high-quality information.
Monitor and update sales reports based on current booking status.
Manage contracts and conditions for tour leaders.
Collect customer satisfaction questionnaires from tour leaders and share insights to support continuous improvement.
Job Requirements
Qualifications & Skills:
Fluency in Hungarian and English is a must, Japanese language skills are a plus.
At least 2 years experience in group travel operations
Excellent problem solving and communication skills to engage effectively with clients, suppliers and colleagues.
Proficiency in Microsoft Office applications
Experience with GDS systems (Amadeus) is a plus
Knowledge of Japan as destination is a plus, but not a requirement
